How to connect your website to your CRM

Map fields, consent, ownership and failure handling before connecting your enquiry form.

Connecting a website to a CRM means sending the right information into the right record and assigning a useful next action. A webhook is often only one small part of the job. Data quality, duplicate rules and failure handling make the connection dependable.

Start with the data contract

List the fields the form collects and the CRM fields they map to. Decide which are required, how dates and phone numbers are formatted, and how unknown values should be handled. Do not use free text where a reliable category is needed.

Choose the integration route

Options include the CRM’s native form, a supported API, a webhook or an automation platform. Compare reliability, permissions, vendor limits and maintenance. Keep credentials server-side and grant only the access the integration needs.

Decide what happens to a duplicate

An existing email address may represent an old customer making a new enquiry. Agree whether to update the contact, create a separate deal or alert an owner. Never silently overwrite useful context.

Test beyond the successful submission

Check missing fields, repeated submissions, supplier downtime, expired credentials and rejected records. The visitor should not see a false success message when delivery fails. Monitor failures and define who is responsible for recovery.

Decide what creates a new record

A returning customer may submit a form with a slightly different name or telephone format. Define how the integration finds an existing contact, what information it may update and when a person should resolve a possible duplicate. Keep the original enquiry available rather than overwriting useful context with the latest form submission.

  • Map every form field to its destination.
  • Store the enquiry source and submission time.
  • Test repeated submissions and temporary failures.
  • Assign the next action to a named role.
