Start with the work, not the tool
Write down where information arrives, who touches it, what decision is made and where the result goes. This exposes the handovers, copy-and-paste and waiting that create avoidable effort.

Look for frequent, rules-led work with known exceptions.

Keep people in the important decisions

Measure the baseline
Record current handling time, delay, error rate and volume. After launch, compare the same measures and include the time spent reviewing exceptions.
Measure the whole task, including the checking
Take a repeated enquiry summary. Record how long someone spends reading the message, finding the customer record and preparing the handover. Then compare a small pilot using the same kinds of enquiries. Include the time spent checking AI output and correcting errors. A faster draft is only valuable if the full process is easier.
