Begin with administrative support
Structured enquiry intake, document collection reminders, meeting summaries and internal task routing are often better starting points than automated advice. Define exactly what data each step needs.
Ground internal answers in approved material
A knowledge assistant should search current, permission-appropriate sources and show where its answer came from. Retired templates and outdated policies must not silently remain available as authoritative material.
Protect confidential information
Assess supplier terms, access controls, retention, data locations and the sensitivity of each source. Do not assume a consumer AI account offers the same controls as an appropriately configured business integration.

Treat generated text as a draft when it could affect a client’s rights, money or decisions. Keep an audit trail, name the reviewer and evaluate both incorrect answers and missing caveats.
Use internal assistance as a controlled first step
For a professional-services team, summarising an internal document or locating an approved procedure can be a useful pilot. Limit the knowledge source to material the intended user is allowed to access. Ask the assistant to point back to the relevant source, and keep advice, client commitments and final outputs under professional review.
