The best automation candidates are repeated, understandable and measurable. Use this list to spot opportunities, then choose one contained workflow rather than trying to automate the whole company at once.
Customer and sales tasks
These workflows reduce the delay between a customer action and a useful response.
- 1. Acknowledge a new enquiry and assign an owner
- 2. Create or update a CRM record
- 3. Send appointment confirmations and reminders
- 4. Schedule agreed quote follow-up and stop it when a reply arrives
- 5. Route routine support questions to approved answers or a person
Operational and back-office tasks
These workflows make information easier to move and review.
- 6. Extract agreed fields from consistent documents
- 7. Collect data for a weekly report
- 8. Create tasks when a job changes stage
- 9. Notify an owner when an approval is overdue
- 10. Prepare a draft document from an approved template
What not to automate blindly
Payments, legal commitments, safety advice and other high-impact decisions need appropriate controls and human review. A task being repetitive does not automatically make it low-risk.
Choose one and write the rules
Define the trigger, required information, intended outcome and exceptions. Estimate the current effort, run a small pilot and measure the net benefit after review and maintenance time.
Build a small shortlist from your actual week
For a few working days, note every task that involves copying information, checking a status or reminding someone. Add the tool used and the event that starts the task. This creates a more useful shortlist than choosing software first. Select one task with clear rules and a result your team can verify easily.
- Separate frequent tasks from rare interruptions.
- Count the checking and correction work.
- Ask the person doing the task what goes wrong.
- Agree a simple success measure before building.
Turn the idea into a clear next step
Describe one process or customer journey you want to improve. Note the current tools, the people involved and what a better result would look like. That is enough to start a useful conversation.
